1. Introduction

Welcome to FyBud. We respect your privacy and are committed to protecting your personal data. This privacy policy will inform you as to how we look after your personal data when you visit our website (regardless of where you visit it from) and tell you about your privacy rights and how the law protects you.

2. The Data We Collect About You

When you use our services and authenticate using Google (OAuth), we may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:

• Identity Data: includes first name, last name, username or similar identifier, and your Google Profile Picture.
• Contact Data: includes your email address provided by Google.
• Technical Data: includes internet protocol (IP) address, your login data, browser type and version.

We do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data).

3. Google and Gmail Data

If you connect a Gmail mailbox to the FyBud Customer Engagement Platform, we access the mailbox only after you give explicit authorization. We use the Gmail API to read message content, headers, attachments, and mailbox history needed to synchronize customer conversations into the connected business workspace. Authorized agents may also send customer replies from the workspace.

Gmail data is used only to provide, operate, maintain, and improve these core mailbox and customer-support features. We do not use Google user data for advertising, sell it, or use it to create, train, or improve generalized artificial-intelligence or machine-learning models. We do not transfer Google user data to third-party AI services for those purposes.

Our use of data received from Google APIs complies with the Google User Data Policy, including the Limited Use requirements. We share data only with service providers that process it on our behalf to operate the service and under confidentiality and security obligations.

Disconnecting Gmail stops future access and removes the stored Gmail authorization tokens. Previously synchronized business data remains in the workspace until the business administrator deletes it or requests deletion. You may also revoke FyBud's access from your Google Account security settings.

4. How We Use Your Data

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

• To register you as a new user.
• To authenticate your account and provide, operate, maintain, and improve the core functionality of our services.

5. Data Retention and Deletion

We retain Google profile information for as long as your FyBud account remains active. We retain Gmail messages, headers, attachments, and related conversation data synchronized into a business workspace for as long as that workspace needs the customer-support service.

Gmail OAuth access and refresh tokens are retained only while the Gmail connection is active. Disconnecting Gmail stops future synchronization and removes those tokens from our systems. Disconnecting does not automatically delete messages that were already synchronized into the business workspace.

A business administrator may delete synchronized Gmail data from the workspace or request deletion by contacting us at the address below. We process verified deletion requests within 30 days. Residual encrypted backup copies may remain for up to 90 days before being permanently overwritten, after which the data is not recoverable. You may also revoke FyBud's access from your Google Account security settings.

6. Data Security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorized way, altered or disclosed.
